POSITION SUMMARY

The Payroll Clerk is responsible for payroll processing, and preparing and submitting federal and state payroll tax payments. This position is also responsible for invoicing, cash receipts, preparing monthly accounts receivable statements and all other aspects of the accounts receivable function. This is a non-exempt position that reports to the Accounting Manager.

ESSENTIAL FUNCTIONS

  • Process payroll using Abila MIP (HR, payroll, and accounting software modules).
  • Maintain Abila MIP HR and payroll database, including updating cost centers and earnings codes.
  • Review, calculate and process electronic timesheets.
  • Generate, review, and audit payroll files for accuracy before processing.
  • Print and distribute paychecks to staff.
  • Maintain documentation for each payroll processed.
  • Prepare requisition orders for benefits and tax payments.
  • Keep current on wage and hour laws and ensure payroll procedures meet all federal and state requirement guidelines.
  • Process wage garnishment orders per mandated rules and regulations.
  • Prepare, reconcile, and submit semi-monthly federal tax payments; process and report required Affordable Health Care Act information, such as 1095 health insurance coverage information.
  • File all federal and state quarterly and annual payroll tax related reports including 941s, SUTA, and W2s.
  • Review and process accounts receivable invoices weekly.
  • Ensure accuracy within the accounts receivable system, including invoicing and cash receipts.
  • Prepare and send monthly accounts receivable statements.
  • Cash receipts entry.
  • Verify accuracy of data processing.
  • Provide back-up support for other finance staff as directed by the Accounting Manager. Assist Accounting Manager with special accounting projects.
  • Other duties as assigned.

QUALIFICATIONS

  • Associate's degree in accounting or related field from a regionally accredited institution required; Bachelor's degree in accounting or related field from a regionally accredited institution preferred.
  • 3 year's payroll accounting work experience with experience in reporting and payroll taxes required; fund accounting experience preferred.
  • Experience preparing payroll taxes, federal and state quarterly tax returns, and annual payroll tax related reports.
  • Knowledge of computerized payroll systems required; Abila MIP experience preferred.
  • Knowledge of current wage and hour law, and payroll and tax regulations.
  • Strong interpretation and problem solving skills, particularly regarding accounting, payroll tax, and regulatory obligations.
  • Intermediate knowledge of Microsoft Office programs.
  • Ability to type 50 wpm required; 10-key by touch required.
  • Strong organizational skills and accuracy and attention to detail.
  • Ability to monitor and prioritize workload and meet strict deadlines.
  • Excellent written and verbal communication skills.
  • Ability to work in a team environment and provide collaborative assistance.
  • Ability to maintain confidential information.
  • Must be able to pass random and pre-employment drug screening.
  • Must pass background check.
