POSITION SUMMARY

The Office Clerk performs a variety of clerical duties to support the Public Safety department's daily operations. Under general supervision, perform a variety of administrative office functions in line with established policies and procedures, such as organizing and maintaining department records, materials, filing and database systems, and compiling and entering data. Scan documents, sort mail, draft communications, and act as receptionist as needed. This is an hourly position that reports to the Chief of Police.

ESSENTIAL FUNCTIONS:

  • Enter, maintain, and verify accurate department data. Prepare and maintain department records in line with established records and information management policies and procedures.
  • Cross check and tabulate standard information. Review incoming forms and documents for required information and accuracy.
  • Perform word processing tasks. Draft routine communications, forms, and letters. Proofread and assemble materials and mailings.
  • Prepare or assist in compiling and preparing reports as directed. Refer questionable data to supervisor for clarification.
  • Respond to inquiries about department services and procedures. Answer email, phone, and receive and refer visitors as needed.
  • Sort and distribute mail, messages, office supplies, and other materials. Order and maintain office supplies.
  • Operate standard office equipment such as copier, scanner, adding machine, fax, and paper shredder.
  • Assist supervisor with special projects as directed.
  • Follow established work schedule. Regular and satisfactory attendance and punctuality.
  • Other duties as assigned.

QUALIFICATIONS

  • High school diploma or equivalent required.
  • Two years of clerical experience in an administrative office setting required. Three or more year's work experience preferred.
  • Knowledge of proper English grammar, usage, and spelling.
  • Strong organizational skills, accuracy, and attention to detail.
  • Excellent customer service and interpersonal skills.
  • Strong written and verbal communication skills. Demonstrated ability to communicate effectively with diverse populations in a courteous, helpful, and clearly understood manner.
  • Knowledge of Native cultures, history, and traditions preferred.
  • Maintain highest level of confidentiality and use tact and discretion.
  • Proficient with Microsoft Office programs.
  • Ability to type 40 wpm.
  • Ability to operate standard office equipment.

CONDITIONS OF EMPLOYMENT

  • Must be able to pass pre-employment and random drug screenings.
  • Must meet the background requirements for Public Law 101-630.

Work generally takes place in an office environment within a controlled atmosphere building. Noise levels are low to moderate.
