POSITION SUMMARY

The Assistant to the Tribal Secretary provides direct confidential administrative support to the Tribal Secretary. Plan, direct, and coordinate administrative support for the Tribal Secretary and other Tribal Council Members as appropriate. Manage and maintain department records. Draft, review, and process documents for the Tribal Secretary. Provide excellent customer service to Snoqualmie Tribal Members, employees, and the public. This is a non-exempt position that report to the Tribal Secretary.

ESSENTIAL FUNCTIONS

  • Plan, prioritize, direct, and coordinate support for the Tribal Secretary and other Tribal Council Members as needed.
  • Assist the Tribal Secretary with administrative duties such as recording meeting minutes, filing, mail, purchasing supplies, communications, and a variety of office administrative support duties.
  • With a high degree of accuracy, manage and maintain the Tribal Secretary calendar, documents, files, and communications.
  • Maintain information, documents, confidential work files, and Tribal Council data in line with established records and information management policies and procedures.
  • Work closely with the Tribal Secretary, Tribal Council Members, and other departments to draft, review, and process documents for the Tribal Secretary. Act as the Tribal Secretary liaison to individuals and departments as assigned.
  • Assist with coordinating and scheduling meetings, events, and activities.
  • Provide comprehensive end-to-end executive planning and support for domestic and international travel, meetings, engagements, and conferences.
  • Maintain confidentiality and communicate with tact and discretion. Interpret, explain, and apply Tribal policies, regulations, and procedures.
  • Provide excellent customer service and support to Tribal Members, employees, and the public.
  • Gather, compile, and analyze data and prepare reports as assigned. May assist with audits as needed.
  • Other duties as assigned.

QUALIFICATIONS

  • Associate's degree from a regionally accredited institution required. A combination of education and experience that demonstrates the ability to perform the essential functions of the position may substitute for degree requirement.
  • Two or more years' related experience required.
  • Knowledge of Snoqualmie Indian Tribe and Tribal government operations strongly preferred.
  • Strong organizational skills, accuracy and attention to detail. Ability to monitor and prioritize workload efficiently and meet strict deadlines.
  • Excellent customer service skills and written and verbal communication. Demonstrated ability to communicate effectively with diverse populations.
  • Strong problem solving and conflict resolution skills.
  • Intermediate knowledge of Microsoft Office programs. Advanced Microsoft Office knowledge preferred.
  • Ability to maintain confidentiality and use tact and discretion.
  • Must be able to pass pre-employment and random drug screenings, including for marijuana.
  • Must pass background check.
